Administrative Assistant

Job Description

USC Shoah Foundation – The Institute for Visual History and Education develops empathy, understanding, and respect through testimony, using its Visual History Archive of more than 55,000 video testimonies, academic programs, and partnerships across USC and 170 universities, and award-winning IWitness education program. USC Shoah Foundation's interactive programming, research, and materials are accessed in museums and universities, cited by government leaders and NGOs, and taught in classrooms around the world. Now in its third decade, USC Shoah Foundation reaches millions of people on six continents from its home at the University of Southern California.

The USCSF Administrative Assistant II provides overall support for the Executive and Operations departments. The Administrative Assistant II is responsible for the timely completion of administrative tasks, including organizing and executing lay leadership meetings.

Working in the Executive department, this organized self-starter supports activities related to engaging with lay leaders, university administration, and senior staff, including meeting logistics, communications, scheduling, and reporting.

This position is forward-facing and will be required to be on campus daily.

Duties/Responsibilities

  • Develop, format, and edit correspondence, meeting minutes/agendas, and/or presentation materials using grammatically correct English, spelling, and punctuation
  • Coordinate board meetings, including preparing run of show, agendas, and Zoom links.  For in-person meetings, reserves and prepares spaces, orders meals/refreshments and arranges for parking when applicable
  • Manages schedules and calendars for senior staff and the executive team
  • Researches and responds to inquiries, calls, and emails
  • Coordinates and makes travel arrangements and complete post-trip expense reports
  • Other duties as assigned

Qualifications

Minimum Education:

Bachelor’s degree

Combined experience/education as substitute for minimum education

Minimum Experience: 3 years
