USC Shoah Foundation – The Institute for Visual History and Education (USCSF) develops empathy, understanding and respect through testimony, using its Visual History Archive of more than 55,000 video testimonies, academic programs and partnerships across USC and 185 universities, and award-winning IWitness education program. USC Shoah Foundation's interactive programming, research and materials are accessed in museums and universities, cited by government leaders and NGOs, and taught in classrooms around the world. Now in its third decade, USC Shoah Foundation reaches millions of people on six continents from its home at the University of Southern California.

The USCSF Executive Assistant supports smooth operation of the Administration and Leadership division with a focus on supporting the Finci-Viterbi Executive Director. Responsibilities include but are not limited to scheduling, writing expense reports, booking travel, keeping minutes of meetings, tracking action items, and assisting in VIP outreach. This seasoned professional will report to and work in close cooperation with the Executive Director.

Ideally, this position will be based in Washington, DC. Experience working with federal and/or foreign governments, particularly on cultural diplomacy, education, or research issues is required.

Responsibilities

  • Supports Executive Director.
  • Develops and maintains effective communications program within department and across the organization.
  • Ensures timely reciprocal exchange of information the Executive Director, USC SF leadership, as well as university administration, faculty, and staff.
  • Manages Executive Director calendar, purchasing, and scheduling needs.
  • Assists in the development, preparation and delivery of reports, publications, speeches, presentations, official correspondence, etc., as needed or as assigned by the Executive Director.
  • Researches and responds to inquiries, calls and emails.
  • Coordinates and makes travel arrangements, and completes post-trip expense reports.
  • Coordination with Board of Councilors, lay leader committees, US and foreign government officials, and university leadership, serving as POC as assigned.
  • Liaise with Assistant Vice President of Advancement and other fundraising staff to ensure prompt and high-quality stewardship and relationship management of major donors and board members.
  • Other duties as assigned.

Required Skills/Abilities

  • Experience working with federal and/or foreign governments, particularly on cultural diplomacy, education, or research issues.
  • Superior organizational skills.
  • Critical thinking skills.
  • Detail oriented and comfortable with multi-tasking.
  • Superior written communication and editing skills.
  • Intermediate to Advanced skills in MS Office Suite, file transfer and other tech platforms.
  • Ability to learn multiple USC online systems and develop rapid fluency.
  • Experience planning and assisting in outreach initiatives.
  • Must be able to travel, on occasion (primarily domestic with the potential for international).

Qualifications

Minimum Education:

  • Bachelor’s degree
  • Combined experience/education as substitute for minimum education

Minimum Experience: 5 years

The annual base salary range for this position is $83,045.89 - $85,000.00. When extending an offer of employment, the University of Southern California considers factors such as (but not limited to) the scope and responsibilities of the position, the candidate’s work experience, education/training, key skills, internal peer equity, federal, state and local laws, contractual stipulations, grant funding, as well as external market and organizational considerations.
